Are Your Email Messages Good Looking?

"Good looks" are very important in an email message. This is often overlooked by many email users. It is a fact that an email’s content is diluted greatly if the message itself is "not good looking".

Have you ever received an email message that looks something like this...
Thank you for requesting more information about our services! We have many Company would like to present a special offer to all of our cherished customers.

There are two main reasons why email messages turn out looking like this.
Although the reasons are quite simple, many email users don’t understand them.

Reason number one is called line length. When composing email, most people just type and type without using a hard carriage return. If it looks fine when you’re done, your email program probably automatically wraps the words in a nice legible format. This word wrap is usually done based on a line length of anywhere from 70 to 80 characters.

Well, lets say I receive your message, but my email program doesn’t have the capability of automatically wrapping incoming messages. Since you performed 18 no hard "end of line" carriage returns when typing your message, my email software thinks it’s one long sentence. Now your nice, easy to read message looks like that example above.

O.K. So how do you avoid this problem? Simple! When composing email
messages, use a hard carriage return before you get to the end of each line. I have found that a maximum line length of 64 works to alleviate this problem almost completely! Of course, you’ll always run into an instance occasionally, depending on your recipients settings, but this should do the trick 95% of the time!

Another reason people encounter "funny looking" email messages is called proportional character fonts. Like I mentioned earlier, all email programs are different. Therefore the fonts used by each program varies widely. Basically, there are fixed pitch fonts like Courier (found on Eudora) and there are proportional spaced fonts (like AOL and Compuserve email).

With fixed-pitch fonts, all characters in a paragraph will line up directly above each other. With a proportional-spaced font, CAPS, space bars and other keystrokes are wider, so each line is a different length. The bottom line is this. If you create a message using one type of font and send it to an email recipient using the other, the message will not look the same when they receive it!

Once again, the solution is simple! By using a hard carriage return before the end of the line you can keep these problems caused by the difference in email programs to a bare minimum. If you plan on sending the same message to multiple recipients, or attempt any drawings, consider testing the message with a friend on another service.

There is a third way for your email messages to look bad. Although it is far less likely to happen, you should be aware of it. Many word processing or text editor programs allow you to save a file as another format. (Such as ascii.) It may look great to you, but when sent via the internet it can become scrambled. You may have received one of these messages at one time or another. They are easily recognized by the repeated "U" characters in the text. To avoid this problem, simply use the cut/paste or copy/paste method to extract text from a document in other programs.

The last thing you want is an email message with great content, being dismissed simply because it wasn’t "good looking" enough!

How good is your website? Does it do its job? Is it effective? These are all good questíons that every business owner and marketing manager needs to ask him or herself. The website has become an essential tool for business. We all know we have to have a website, but are we using this venue to its greatest advantage?

Most people responsible for their company's websites have stats packages and counters to tell them how many hits, how many unique visitors, where they are coming from, what their IP addresses are, what browser they're using, and of course the all important monitor resolution. So what! Who cares? The real question is do we have an effective website?

Now if you have a transactional website, commonly referred to as an e-commerce site, you know the number of salës you are generating from your site, which is important, but do you really know how effective your site is? How many orders are you losing because of bad layout, awkward design, confusing navigation, and poor copy? How many potential clients have you chased away because you haven't put a telephone number on your site and an accessible real-person that can answer questíons?

A website is your business' public face. Big businesses can look like mom and pop operations and mom and pop operations can look like General Motors. The design of your website should not be taken lightly, its budget should not be an afterthought, and the designer you hire should be someone who understands more than code. Your Web-designer should be a multimedia-marketing advisor, someone who can counsel you how best to deliver your marketing message, and someone who can go beyond technical issues.

You can spend a lot of monëy and have someone analyze your site for you, but are you really going to believe him, are you really going to act on their recommendations? You can't sell somebody something they really don't want - that may sound obvious, but believe me, salës people do it everyday. If you don't think you need a new website, you aren't going to spend the monëy to have one built. So the best way to tell if you need one is to analyze the one you already have, yourself.

Below is a set questíons you can ask yourself. If you answer them honestly, you'll know whether you need a new site or not. After you've gone through the process, ask some colleagues to do the same. See if your answers compare.

1. Does Your Website Have A Purpose?

Every website should have a clearly defined purpose. Having a website just because everyone else has one is not an acceptable strategy. What is your website's purpose?

a. Transactional sales-oriented site
b. Customer service support site
c. How to instructional site
d. Product or service demonstration site
e. Lead generation site
f. Marketing, branding, positioning site
g. Promotional campaign site
h. Viral or buzz creation site

2. Is Your Website Focused?

Too many businesses both large and small use their website as an information junkyard, a dumping ground for everything you do, everything you've done, and everything you ever thought of doing. This won't work. Customers are like children; they want clarity, direction, and unequivocal answers. Your website should be focused on a singular function. URLs are cheap, there is no reason you can't have different websites for every major thing you do, or every marketing campaign you initiate. How focused is your website?

3. How Functional Is Your Website?

Everybody knows that websites should be easy to use, that you shouldn't have to drill-down too deep to find what you're looking for, and of course everything should work. Your website is a communication tool. If your website doesn't work properly, the only thing you're communicating is incompetence. How functional is your website?

4. Does Your Website's Construction Balance Competing Concerns?

Websites by their very nature are a compromise of competing issues. Aesthetics, multimedia, frame construction, HTML, Flash, client-side, server-side, data bases, SEO tactics, information architecture, marketing communication, transaction efficiency all compete for precedence in the design of a site. Are you sacrificing clarity, focus, and communication for SEO tricks and unattainable traffíc numbers? Did you start with an IT solution like a database and build your site around a poorly conceived information delivery system. Does your website's design reflect your sites' defined business purpose or is it a result of secondary technical concerns?

5. Does your website honestly reflect your business personality?

Does your website represent and promote your marketing objectives? Okay, this is a trick question for many small owner-managed businesses. Marketing is not salës. Marketing is about communicating who you are, what you do, and why you do it better than the other guy. Marketing is about image building, branding, and positioning, in other words, enhancing your business personality. Does your website honestly reflect your business personality?

6. Is your Web-presentation integrated into your overall marketing plan?

Too many websites bear no relation to the rest of their business' marketing initiatives. Everything your company does should reflect an over-riding ethos, point-of-view, and personality. If your marketing collaterals don't match your website presentation, you are confusing your audience. Is your Web-presentation integrated into your overall marketing plan?

7. Is content king on your website?

I once had a fairly large manufacturing client ask me to build a website based on a business card and ten 8x10 glossies of discontinued merchandise. This fellow was so paranoid that his competitors would see what he was doing that he hid his products from his customers. This business is now bankrupt. We've all heard the saying 'content is king'. Is content king on your website? Does your website adequately display and explain what you do, what products you sell, and what services you provide? Are there examples of your work? Are there testimonials from your customers? Have you provided information on how to order, how to use, and how to resolve problems? Is content really king on your website?

8. Is your website an experience?

You watch television, you listen to the radio, you read a magazine, but you experience a website. Unlike other marketing vehicles, websites provide you the opportuníty to deliver your marketing message with the full complement of multimedia tools. Websites can stimulate all the senses, sight, sound, and interactive touch in order to communicate and connect with your audience. Websites are not brochures. Visitors shouldn't just see your website, they should experience it. Is your website an experience?

9. Does your website have a distinctive look?

The notion of the flaming animated logo has become a cliché for bad design and style over substance, but that does not mean your website should be aesthetically boring and visually dreary. Your site should display clarity of vision; it should provide functional page layout; its use of colors, type, and static and kinetic visuals should be distinctive and purposeful. Your website should provide a defining "Look" that enhances your business personality. Does your website display a distinctive look that represents your business personality?

10. Do you list appropriate contact information on your website?

I remember going to a meeting with a client who was in the construction business. The Vice President of the company was hopping mad. He demanded his email address be taken off the site immediately. He wasn't going to waste any more time dealing with client emails and inquiries. Websites are all about connecting you to your clients, not hiding from them. If you think you can put your website on autopilot and that a FAQ and Q&A are going to cut-it, you better think again. Does your website have adequate contact information? Do you list appropriate email addresses and telephone numbers for the people responsible for various aspects of your business?

There you have it. Ten questíons that when answered honestly will tell you whether or not you have a website that works and whether or not you need to rebuild.

When you get more advanced, you will need to stay up to date with research papers like these (but might be too advanced for you now, take your time):

I also recommend you go to a Search Engine Strategies Conference at least once a year if you can afford it. Lots of contacts and great new info gets let loose every year. If you want to choose only one, I'd go with San Jose.

Directories.

People use both search engines and
directories without ever realizing there is a difference between the two.

Directories (Yahoo, LookSmart) have human
editors who review web pages, rank them, and then organize them into
categorized lists with brief descriptions. The categories and descriptions are
based on submissions, but are edited by professional editors (real people in
the loop reviewing the sites being submitted).
Search Engines (AltaVista, Excite, Google)
have automated programs called spiders that index sites and score pages based
on proprietary guidelines. There is no human judgment involved. Search engines
index all the information on all the Web pages they find. The indexes are
generated automatically, based on the words and phrases that are found on Web
pages.

What is a Search Engine?

Search engines send automated
computer programs (called robots or spiders) to crawl the Internet in search of
Web pages. Basically these spiders follow links to travel from URL to URL. When
they visit your Web site, the robot indexes (or records) the text of your page
or pages (if it is a deep crawling spider) and stores it in the search engine's
index. Later, when a user enters a search query at the search engine's Web site,
the search engine scans Web pages in its index for pages that provide the best
match.

In theory, the search engine spider
is supposed to be able to find all the sites on the Internet. However, since new
sites are being added daily, it's risky to assume that the spider will find you.
Expedite the process by submitting your URL to the search engines.

What is a Directory?

Unlike the automated search engine
process, each entry in a directory is first reviewed by a human being. You
submit a short description to the directory for your entire site, or editors
write one for sites they review. A keyword search will only look for matches in
these descriptions, so be careful how you describe your site. Techniques to
receive a high search engine rating will not work with a directory. While good
content is necessary for search engines, both good content AND visual appeal are
mandatory in human-edited directories. Remember, manual review takes time! The
typical time lag between submission of a site and its actual listing in Yahoo is
five months. You can speed up the process at some directories, but expect to pay
for that service. This trend will probably continue.

Focus on the types of products, services, and information you seek to promote. You are selling sporting goods, not bedding. Focus on sporting goods and stay on that approach. Donâ€™t get side tracked with a certain color theme you favor. Make your keywords the main focus of your theme. Make them bigger, and make them stand out against all the other content.

Search engine spiders review website theme as to how it relates to keywords. It is a complicated algorithm, but it takes into consideration the use of keywords and links. Search engines look for lots of content related to the main theme throughout the site, so itâ€™s a good idea to have lots of information written for your site.

Web traffic is the amount of data sent and received by visitors to a web site. It is a large portion of Internet traffic. This is determined by the number of visitors and the number of pages they visit. Sites monitor the incoming and outgoing traffic to see which parts or pages of their site are popular and if there are any apparent trends, such as one specific page being viewed mostly by people in a particular country. There are many ways to monitor this traffic and the gathered data is used to help structure sites, highlight security problems or indicate a potential lack of bandwidth â€“ not all web traffic is welcome.

Some companies offer advertising schemes that, in return for increased web traffic (visitors), pay for screen space on the site. Sites also often aim to increase their web traffic through inclusion on search engines.

Measuring web traffic
Web traffic is measured to see the popularity of web sites and individual pages or sections within a site.

Web traffic can be analysed by viewing the traffic statistics found in the web server log file, an automatically-generated list of all the pages served. A hit is generated when any file is served. The page itself is considered a file, but images are also files, thus a page with 5 images could generate 6 hits (the 5 images and the page itself). A page view is generated when a visitor requests any page within the web site â€“ a visitor will always generate at least one page view (the main page) but could generate many more.

Tracking applications external to the web site can record traffic by inserting a small piece of HTML code in every page of the web site.

Web traffic is also sometimes measured by packet sniffing and thus gaining random samples of traffic data from which to extrapolate information about web traffic as a whole across total Internet usage.

The following types of information are often collated when monitoring web traffic:

The number of visitors
The average number of page views per visitor â€“ a high number would indicate that the average visitors go deep inside the site, possibly because they like it or find it useful. Conversely, it could indicate an inability to find desired information easily.
Average visit duration â€“ the total length of a user's visit
Average page duration â€“ how long a page is viewed for
Domain classes â€“ the top level domain of the ISP a visitor uses, useful for finding out geographical statistics
Busy times â€“ the most popular viewing time of the site would show when would be the best time to do promotional campaigns and when would be the most ideal to perform maintenance
Most requested pages â€“ the most popular pages
Most requested entry pages â€“ the entry page is the first page viewed by a visitor and shows which are the pages most attracting visitors
Most requested exit pages â€“ the most requested exit pages could help find bad pages, broken links or the exit pages may have a popular external link
Top paths â€“ a path is the sequence of pages viewed by visitors from entry to exit, with the top paths identifying the way most customers go through the site
Referrers; The host can track the (apparent) source of the links and determine which sites are generating the most traffic for a particular page.
Web sites like Alexa Internet [1] produce traffic rankings and statistics based on those people who access the sites while using the Alexa toolbar. The difficulty with this is that it's not looking at the complete traffic picture for a site. Large sites usually hire the services of companies like Nielsen Netratings [2], but their reports are available only by subscription.

Controlling web traffic
The amount of traffic seen by a web site is a measure of its popularity. By analysing the statistics of visitors it is possible to see shortcomings of the site and look to improve those areas. It is also possible to increase (or, in some cases decrease) the popularity of a site and the number of people that visit it.

Limiting access
It is sometimes important to protect some parts of a site by password, allowing only authorised people to visit particular sections or pages.

Some site administrators have chosen to block their page to specific traffic, such as by geographic location. The re-election campaign site for U.S. President George W. Bush (GeorgeWBush.com) was blocked to all internet users outside of the U.S. on 25 October 2004 after a reported attack on the site[1].

It is also possible to limit access to a web server both based on the number of connections and by the bandwidth expended by each connection. On Apache HTTP servers, this is accomplished by the limitipconn module and others.

Increasing web traffic
Web traffic can be increased by placement of a site in search engines and purchase of advertising, including bulk e-mail, pop-up ads, and in-page advertisements. Web traffic can also be increased by purchasing non-internet based advertising.

If a web page is not listed in the first pages of any search, the odds of someone finding it diminishes greatly (especially if there is other competition on the first page). Very few people go past the first page, and the percentage that go to subsequent pages is substantially lower. Consequently, getting proper placement on search engines is as important as the web site itself.

There are a number of other things you can do to increase your web traffic, including but not limited to building link popularity, offering free e-books or articles and classified advertisements.

Of the above mentioned items,perhaps the easiest one to do is building link popularity. This can be accomplished by writing e-mails to sites similar to yours and asking if they would link to your site.The second way of increasing your web traffic is writing to e-zines or to free article sites.There are many sites which will accept your written material, the catch is that you are giving it away for free. The benefit however is that you get to include a link to site in the article. Meaning everytime someone clicks on your link, it is free traffic for your.

Organic traffic
Web traffic that comes from unpaid listing at search engines or directories is commonly known as "Organic" traffic. Organic Traffic can be generated/increased by including the web site in Directories (p.e. Yahoo, DMOZ), Search Engines (p.e. Google, Inktomi), Guides (p.e. Yellow Pages, Restaurant Guides) and Award Sites.

In most cases the best way to increase web traffic is to register it with the major search engines. Just registering does not guarantee traffic, as search engines work by "crawling" registered web sites. These crawling programs (crawlers) are also known as "spiders" or "robots". Crawlers start at the registered home page, and usually follow the hyperlinks it finds, to get to pages inside the web site (internal links). Crawlers start gathering information about those pages and storing it and indexing it in the search engine database. In every case, they index the page URL and the page title. In most cases they also index the Web page header (meta tag) and a certain amount of the text of the page. Then, when a search engine user looks for a particular word or phrase, the search engine looks into the database and produces the results, usually sorted by relevance according to the search engine algorithms.

Usually, the top organic result gets most of the clicks from internet users. According to some studies the top result gets between 5% and 10% of the clicks. Each subsequent result gets between 30% and 60% of the clicks of the previous one. So it is definitely important to appear in the top results. There are some companies that specialize in search engine marketing. However, it is becoming common for webmasters to get approached by "boiler-room" companies with no real knowledge of how to get results. As opposed to Pay per Clicks, search engine marketing is usually paid monthly or yearly, and most search engine companies cannot promise specific results for what is paid to them.

Because of the huge amount of information available on the internet, crawlers might take days, weeks or months to complete review and index all the pages they find. Google, for example, as of the end of 2004 had indexed over 8 billion pages. Even having hundreds or thousands of servers working on the spidering of pages, a complete reindex takes its time. That is why some pages recently updated in certain web sites are not immediately found when doing searches on search engines.

Paid advertising

Dozens of pop-up ads cover a desktopIn return for a small payment many larger companies choose to advertise their sites on other popular sites. This e-marketing usually takes the form of:

Banner advertising: Banner impressions are sold by the thousands, and referred to as Cost Per Impression (CPM). As of 2004, prices range from $1/CPM for a run-of-network to about $50/CPM or more for specialized targeted runs. Most popular web sites sell banner advertising space, with the notable exception of Google.
Pay per clicks: Advertisers "buy" keywords or keyphrases by bidding on them against other advertisers. The so called Pay-per-click engines sell their premium spaces showing in the searches the highest paying advertisers. Google sells paid advertisement through its AdWords and AdSense systems, which place sponsored links on search pages. Overture, now owned by Yahoo!, is one of the most popular pay-per-click advertising venues.
As users got used to seeing banners, some companies chose to make the advertisements more intrusive â€“ pop-up ads became particularly popular to attract attention. However, most people consider pop-ups a nuisance and several software companies offer free pop-up blockers. Even Microsoft included a pop-up blocker in Service Pack 2 of Windows XP.

Traffic overload
Too much web traffic can dramatically slow down or even prevent all access to a web site. This is caused by more file requests going to the server than it can handle and may be an intentional attack on the site or simply caused by over-popularity. Large scale web sites with numerous servers can often cope with the traffic required and it is more likely that smaller services are affected by traffic overload.

Denial of service attacks
Denial-of-service attacks (DoS attacks) have forced web sites to close after a malicious attack, flooding the site with more requests than it could cope with. Viruses have also been used to co-ordinate large scale distributed denial-of-service attacks.

Sudden popularity
A sudden burst of publicity may accidentally cause a web traffic overload. A news item in the media, a quickly-propogating email, or a link from a popular site may cause such a boost in visitors (sometimes called a flash crowd) that overwhelms the site.

Web sites have been forced to close after an unexpected mass increase of traffic, particularly those run by an individual leasing the bandwidth from an ISP or hosting site. Some sites backed by large companies running their own servers have also been caught out by the problems of overpopularity. When first announced, the Vision of Britain Through Time site, containing information taken from the 1901 UK census, was advertised on numerous television programmes and causing such interest that the site had to be taken offline until different arrangements were made to cope with the traffic. The site was hosted by a project at the University of Edinburgh and they had not foreseen the amount of bandwidth and the server load that would be required. Ironically, by the time the site was able to cope with the traffic both the interest and the free advertisements of the site had greatly slowed, giving them excess capacity.
